Ultimate Guide to Unified Communications as a Service

Your one-stop-shop for everything you need to know about UCaaS, including what UCaaS is, how UCaaS differs from other phone solutions, who it is for, and more.

What is UCaaS?

UCaaS (Unified Communications as a Service) is a business communication solution that combines multiple communication tools into a mobile platform that can be used anywhere and is updated remotely through the cloud.

Let’s break that down a little bit further. UCaaS consists of two parts, UC and -aaS.

  • “Unified Communications (UC)” puts many tools a company uses to communicate–like phone calls, texts, internal messages, and video calls–into a single platform through the cloud that can be accessed from anywhere.
  • The “-as a Service” (-aaS) at the end of the acronym indicates that upgrades and updates are delivered through the cloud regularly rather than through many regular phone systems (on-premise systems), which require ordering and manually installing these. This service often includes support and training for customers whenever things go wrong.

How is it different from a standard business phone system (aka on-premise phones)?

Classic phone systems, on-premise PBX, work well but can become costly and allow little remote flexibility. On average, continual maintenance and upgrades for broken pieces end up costing companies more than a UCaaS solution. When users move offices or desks often requires complex solutions that can sometimes include the physical moving of wires within the wall. On top of that, any employee that needs to receive calls while away from their desk ends up giving out their personal cell phone information or requiring a second cell phone.

UCaaS solutions already include any upgrades or updates to their monthly costs and can implement them automatically and remotely. UCaaS solutions also have mobile functionality with a mobile app that uses their business phone number to make calls or send texts, allowing users to maintain their privacy. Most also allow users to create automatic call forwarding and holiday hours, so they aren’t getting calls when they don’t want to be.

Who is this service for?

UCaaS is an excellent solution for businesses or corporations that want to connect all their employees under one simple, all-in-one solution at a reasonable price. To be more specific, this is for companies that need one or more of the following:

  • Mobility and Connectivity – users can communicate with stakeholders from anywhere, anytime, using their mobile phone, computer, or desk phone. This is perfect for companies that have remote employees or multiple locations.
  • Simplicity and Flexibility
    • A simple, all-in-one solution
    • Scale your seats as you grow without adding expensive onsite equipment or recurring maintenance costs.
    • Connect multiple business locations under a single platform rather than needing to manage multiple locations
    • Managed, updated, and hosted by us for no additional maintenance fees

Is it the same as VoIP?

VoIP, or Voice over Internet Protocol, powers UCaaS’s voice capabilities through the cloud.

How does it work?

We commonly think of phones as a two-way line from cell towers (or a phone closet) to your phone. This method works well but only allows for calls to be sent and received through one device. UCaaS calls are made using VoIP.
